This policy describes how the GIGA’GAMES association collects, uses and protects your personal data when you use the lagiga.info website, in accordance with the General Data Protection Regulation (GDPR) and the French Data Protection Act.
1. Data controller
The data controller is the GIGA’GAMES Fédération Guadeloupe d’eSports association, a non-profit association under the French law of 1901.

2. Data collected
The lagiga.info website offers a player area (account and public profile) and several forms: player pre-registration, selector pre-registration, volunteer application, contact, and public voting for the GIGA’GAMES AWARDS. Depending on the service used, we collect the following categories of data.
- Identity data: last name, first name submitted through the forms.
- Email address: required for every form and for the AWARDS vote.
- Gaming information: nickname, game played, club or delegation for pre-registrations.
- Player account: email address, password (stored hashed) and phone / WhatsApp number. The phone number is private: it never appears on your public profile or in the player directory, and is only accessible to authorised members of the federation.
- Public player profile: the information you choose to publish in the directory (nickname, games, level, social links, pictures).
- AWARDS vote: email address only, verified by an OTP code (one vote per email and per category).
- Technical data: connection logs and IP address, for security purposes.
- Newsletter: email address, chosen language, the exact wording of the ticked box, the date and time of consent, and a truncated IP fingerprint. Signing up takes two steps (request, then confirmation through a link received by email): without that second click, no letter is sent. Addresses collected for the other services described above (forms, player account, AWARDS vote) are never added to this list: they were given for a different purpose. Legal basis: consent. Withdrawal is one click from the link in every send, with no account and no reason to give; only the record of the withdrawal is kept, so the address is never signed up again by mistake.
3. Purposes and legal bases
- Managing pre-registrations (player, selector): pre-contractual measures and the association’s legitimate interest in organising its events.
- Managing volunteering: pre-contractual measures and legitimate interest.
- Public AWARDS voting: the person’s consent.
- Contacting players (phone / WhatsApp): the association’s legitimate interest in reaching its players for tournament organisation, selections and event-related emergencies.
- Replying to contact messages: legitimate interest in answering your requests.
- Website security: legitimate interest in protecting the infrastructure and preventing abuse.
4. Recipients and processors
Your data is never sold. It is accessible to authorised members of the association and to the technical processors listed below. A GDPR data processing agreement governs the relationship with the host (confidentiality, security, deletion at the end of the contract, breach notification within 72 hours).

6. Transfers outside the European Union
No transfer of your data outside the European Union takes place. The entire infrastructure (server and database) is located within the European Union.
7. Your rights
In accordance with the GDPR, you have the following rights over your data: access, rectification, erasure, objection, restriction and portability.

8. Security
We implement appropriate technical and organisational measures to protect your data: encryption of data in transit (HTTPS), restricted access to authorised persons, and regular backups. In the event of a data breach, the processor notifies the association within 72 hours.
9. Minors
Consent to processing is valid from the age of 16. Below that age, processing is lawful only with the authorisation of the holder of parental responsibility.
The website offers an online parental authorization form, reserved for the legal guardian of a participant under 18. It replaces the paper signature collected on site on the day of the event.
- Data collected: the child’s identity and date of birth, an optional gamertag, the legal guardian’s identity, capacity, email address and phone number, the event concerned, the three consent answers, the typed signature, the date and time, and a truncated IP address used as technical proof. The full IP address is never stored.
- Purpose and legal basis: keeping proof of the legal guardian’s authorization, of the acceptance of the code of conduct and of the image rights choice, for the reception and safety of an underage participant. Legal basis: consent of the legal guardian, and the association’s legitimate interest in proving that it was actually collected.
- Three separate consents: participation, the code of conduct and image rights are collected separately, no box is pre-ticked. Refusing image rights does not prevent the child from taking part.
- Retention period: 3 years after the event concerned, then deletion.
- Recipients: no publication, no public access. This data is restricted to authorized members of the federation, for reception and safety purposes. It is shared with no partner.
- Rights: access, rectification, erasure, objection, and withdrawal of consent at any time, in particular for image rights, without affecting the child’s participation. Withdrawal can be requested via the contact form, quoting the verification ID shown on the summary.
The printable summary provided after submission is generated from the legal guardian’s browser and is only kept in the tab where the form was filled in, until that tab is closed. None of the child’s data passes through the page address.

11. Changes
This policy may change to reflect updates to our practices or to the applicable regulations. The update date shown at the top of the page is the authoritative one.
